Description

As part of a growing network of 60 multidisciplinary hearing health clinics, you will be responsible for planning and coordinating all events that Lobe participates in or organizes. Event calendars, budgets, suppliers, logistics, materials and on-site presence: you will oversee every detail from start to finish, ensuring that each event is relevant, well executed and delivers real value.
You will report to the Marketing and Events department. On a day-to-day basis, you will work closely with the Events Assistant, who supports you with logistics, as well as the person responsible for partnerships and visibility, the Content Strategist and Writer, and the Creative team.

What You Will Accomplish
Event Planning and Calendar Management
- Plan, direct, and oversee the implementation of events and activities organized by or attended by Lobe.
- Create and maintain the network’s event calendar.
- Evaluate participation opportunities and recommend those that should be pursued.
Budget Management and Optimization
- Develop and manage the budget for each event.
- Optimize allocated resources and document budget variances.
Coordination and Logistics
- Determine the tasks required for each event and assign the appropriate contributors.
- Structure projects using our project management tools, lead coordination meetings, and ensure proper follow-up.
- Coordinate vendors, materials, promotional items, and all on-site logistics.
- Supervise the work of the Events Assistant and ensure that information provided to representatives and clinics is complete and delivered on time.
On-Site Execution and Event Experience
- Attend selected events to ensure activities and animations run smoothly.
- Welcome and support the network ambassador and field representatives on site.
- Monitor the implementation of event strategies and make adjustments as needed.
- Evaluation and Continuous Improvement
- Measure event performance using relevant metrics and prepare post-event reports.
- Recommend improvements to increase the impact and effectiveness of future initiatives.
- Contribute to the ongoing evolution of the team’s tools, processes, and ways of working.
Collaboration and Compliance
- Work closely with the Marketing Project Manager: they lead partnerships, visibility initiatives, and event communications, while you oversee planning, logistics, and execution.
- Ensure the feasibility and deployment of on-site activations developed by the Marketing Project Manager, while providing valuable field insights to support their design.
- Apply the ethical and regulatory compliance standards specific to our industry in all activities and materials deployed on site.
The Profile We Are Looking For
- Bachelor’s degree in Marketing, Communications, Event Management, or a related field.
- Three to five years of relevant experience in event coordination or event management.
- Excellent organizational skills and the ability to manage several events simultaneously.
- Strong attention to detail in follow-ups, timelines, budgets, and documentation.
- Ability to engage and coordinate internal and external stakeholders toward common goals.
- Excellent written and spoken French.
- Proficiency with project management and digital tools; interest in using artificial intelligence tools (ChatGPT, Claude, Copilot) to support day-to-day work.
- Availability to travel within Quebec and to attend occasional evening and weekend events; valid driver’s licence required.
- Asset: experience in a regulated industry or familiarity with compliance requirements, such as in the healthcare sector.
